ERASMUS+ Step by Step – Studies
BEFORE THE MOBILITY

Choose a university from our partner list where you would like to study. If you wish to study at a university outside our partner list, you may choose any institution that participates in the Erasmus+ programme.

You may apply for the OLS language test and a free language course (English or another language). Do not worry – language proficiency is not a selection criterion, but an additional form of support.

Check whether the selected university offers courses compatible with your field of study. If similar courses are available, apply by sending an email with information about your chosen destination to:

Visit the website of the host university and gather information about study conditions, course offerings, the academic calendar, and accommodation options.

Make sure not to miss any deadlines for submitting required documents.

You will be informed about your qualification for the Erasmus+ programme by email once the Erasmus+ Office sends your official nomination to the host university, in accordance with the recruitment and mobility rules (documents available for download).

Submit an application to the Dean at your faculty office using the template available in the “Documents for Download” section.

Download the list of courses available at the host university for the relevant semester and the list of courses you are required to complete at WSNS during your mobility. Consult your Dean to determine which courses you should complete abroad.
If you need help creating your Learning Agreement, contact the Erasmus+ Office. Make sure to select courses that correspond as closely as possible to those at your home institution. -
After selecting and having your courses approved by the Dean, you must create your ONLINE LEARNING AGREEMENT (OLA), which specifies the duration of your mobility and the courses you will complete at the host university. Erasmus+ Office staff will assist you if needed.
* If there are courses that you could not find equivalents for at the host university but must be completed in Poland, contact the respective lecturers and agree on individual completion conditions, as described in the “Application to the Dean” form.
HOW TO CREATE AN ONLINE LEARNING AGREEMENT (OLA)

Before creating your Learning Agreement online, contact the Erasmus+ Office and inform them that the list of courses has been approved by the Dean.

In the academic year 2021/22, signatures on the Learning Agreement could be paper-based or electronic via the platform. In subsequent years, only the electronic version and electronic signatures via the platform are valid.

After receiving confirmation from the Erasmus+ Office that your OLA is correct, send it as a PDF to your Dean (recommended) or arrange a meeting and bring a printed copy. Ask the Dean to sign in the section:
“Responsible person at the sending institution” (page 2). -
After obtaining the Dean’s signature, send a copy/scan to the Erasmus+ Office and another copy/scan to the host university.

Email the completed and signed document “Application to the Dean” (from the Documents for Download section) to your Dean.

One month before your departure, a financial agreement (in two copies) will be generated by the Erasmus+ Office. After being signed by both parties, the originals must be delivered to the Erasmus+ Office.

Complete the mandatory OLS language test before departure (you will receive an email invitation). After returning, you will also be able to complete a final test to compare your progress.

Make sure all formalities are completed (contact with Erasmus+ Office, Dean, and host university) in accordance with this step-by-step guide.

Learn about accommodation conditions at the host university. If the university offers dormitory accommodation, contact their Erasmus+ Office. If not, look for private accommodation using reliable websites.
The Erasmus+ Office is not responsible for accommodation choices. However, it may issue a document requesting assistance from nearby universities that have dormitories.

Remember to have health insurance:

If you are a WSNS student from Poland – obtain the European Health Insurance Card (EHIC).

If you are a WSNS student of another nationality – obtain an EHIC or NFZ insurance
(more information: https://www.nfz.gov.pl/dla-pacjenta/ubezpieczenia-w-nfz/).

Obtain an international student card valid across the EU, e.g. ISIC / Euro 26.

Open a bank account in EUR, as the Erasmus+ grant is paid in euros, avoiding unnecessary currency exchange fees.

Grant rates for student mobility for studies (SMS) and traineeships are available in the “Documents for Download” section – funding rules.

You will receive 70% of the Erasmus+ grant before departure, and the remaining 30% after returning, once you submit all required documents confirming the final duration of your mobility (Transcript of Records, Confirmation of Stay, OLS test, etc.).

If you receive a social grant, you are entitled to an increased Erasmus+ grant. More information is available from the Erasmus+ Office.
DURING YOUR MOBILITY

If some of your selected courses are not available at the host university, visit their Erasmus+ Office to arrange changes (Changes to the Learning Agreement, page 3 of the OLA) and inform your Dean and the Erasmus+ Coordinator in Poland.
You have two weeks from the start of the academic year to make changes. -
After the Dean approves the replacement courses, update your OLA on:

After entering the changes and signing the document, inform the Erasmus+ Office by email. Wait for confirmation.

Once confirmed, send the updated OLA PDF to your Dean and request a signature in the section:
“Responsible person at the sending institution” (page 4). -
After receiving the Dean’s signature, send a scan to the Erasmus+ Office and another copy to the host university.

Ask the host university to sign the changes and send you a scan.

Once all signatures are collected (yours, the Dean’s, and the host university’s), email the final OLA PDF to the Erasmus+ Office.

Try to meet other students via Facebook groups such as “Erasmus students in …” or “Foreigners in …”, as well as ESN and Buddy programmes. Participate actively in Orientation Weeks and workshops.

Before returning to Poland, obtain the following documents from the host university:

Transcript of Records (if it includes dates, the document below is not required)

Confirmation of Stay – confirming the exact dates of your studies abroad (must match the dates in your financial agreement).

AFTER RETURNING
Within two weeks of your return, email the following documents to the Erasmus+ Office:

Learning Agreement – Changes to the Learning Agreement (with all required signatures)

Student Survey – completed online (link sent to your email)

OLS language test
Additionally:

Submit (in paper form or by email – recommended) a copy of your Transcript of Records or Learning Agreement to the Dean’s Office with a request for recognition of your Erasmus+ studies at WSNS.
* Make sure that both the Erasmus+ Office and the Dean’s Office receive your Transcript of Records, including the name of the host university, courses completed with ECTS credits, final grades, and exact mobility dates. These details must be entered into the internal system for recognition and inclusion in the Diploma Supplement.
